This page is a general starting point for a community platform and is not a substitute for legal advice. It describes what the Hub actually collects and does today, and will be updated as features change and after professional legal review.
1. Information We Collect
Coppell Community Hub collects only the information needed for the features you use. Today, that may include:
- Name, email address, and phone number when you submit an opportunity, event, or resource
- Organization name and website, where applicable to a submission
- The content of your submission (title, description, dates, location, etc.)
- Name (optional) and email address, if you subscribe to our newsletter
- Basic technical information such as browser type, generated automatically by standard web hosting
We do not currently offer user accounts or payments. If those features are added later, this section will be updated to describe exactly what is collected for them before they launch.
2. How We Use Information
Information you provide is used to:
- Review and verify submissions before anything is published
- Respond to your questions or follow up on a submission
- Send newsletter updates, only if you've subscribed
- Maintain the accuracy and security of listings on the Hub
- Prevent abuse, fraud, or misleading submissions
3. Information Sharing
We do not sell your information. We do not currently share submitted information with third parties, except as needed to operate the Hub itself (for example, a hosting or database provider storing the data on our behalf) or if required by law. If a submission is approved and published, the content you chose to submit (such as an opportunity description) becomes publicly visible on the Hub by design — avoid including anything in a public-facing field that you don't want shown publicly.
4. Cookies & Analytics
Coppell Community Hub does not use cookies for tracking or advertising purposes, and does not use any third-party analytics service. (Necessary authentication cookies are used only in the administrator area.)
We do keep two simple, anonymous counts to help us understand how the Hub is used:
- A total page-view count across the site — a single running number, not tied to any individual visitor, session, browser, or device.
- A click count on each volunteer opportunity's "Register" button, to help us see which opportunities are actually helping people — again, just a number per listing, not linked to who clicked it.
Neither of these counts can be used to identify a visitor, reconstruct their browsing activity, or connect their visits together. If that changes — for example, if we ever add real analytics or per-visitor tracking — this section will be updated first, before it happens.
5. Third-Party Services
As the Hub grows, it may rely on third-party services such as website hosting, a database provider, or email delivery to operate. This section will list each service actually in use, by name, as they are added — we do not list services here that the Hub does not currently use.
6. Data Security
We use reasonable technical and organizational measures to help protect the information you share with us. However, no website or online system can guarantee absolute security, and we cannot promise that information will never be accessed, disclosed, altered, or destroyed in a manner inconsistent with this policy.
7. Data Retention
We retain submitted information only for as long as reasonably necessary for the purposes described in this policy — for example, to review a submission and keep a record of published listings, or until you unsubscribe from the newsletter — unless a longer retention period is required by law.
8. Children's and Teen Users
Coppell Community Hub is intended to be useful to Coppell-area students, including high-school-aged teens, and we do not assume that everyone using the Hub is an adult. Because of this:
- Our forms are designed to ask only for the information needed for that specific form (for example, a name and email to follow up on a submission, or to subscribe to updates) rather than broad personal details
- Newsletter signup is always optional — nothing on the Hub requires providing your name or email just to browse
- We do not knowingly collect sensitive personal information from children beyond what is necessary and clearly disclosed for a specific feature
- Parents or guardians with questions about a teen's use of the Hub, or who want submitted information reviewed or removed, can contact us using the details below
9. Your Choices & Privacy Requests
You can contact us at any time to:
- Ask what information we have associated with a submission or newsletter subscription you made
- Request a correction to information you submitted
- Request removal of a submission, listing, or newsletter subscription, where reasonably possible
You can also unsubscribe from the newsletter at any time by contacting us.

10. Policy Updates
This Privacy Policy may be updated as the Hub's features change. Any changes will be posted on this page along with a new "Last Updated" date and version number.
